Build and organize the work you track on each deal. Checklists live inside Vaults and give you a structured way to manage documents, deliverables, and collections.
Find the Checklist tab on any Vault and get oriented before adding work.
- Open the deal. Navigate to the deal you want to track.
- Pick a Vault. Click Vaults and choose the Vault that holds the documents for this workstream.
- Switch to the Checklist tab. You'll see columns for Task, Status, Team, Assignee, Due date, and Attachments.
- Start empty or from a template. If the Checklist is blank, click Use a template to start from a pre-built set of tasks — or add tasks manually.
You're looking at the Checklist tab with the Task, Status, Team, Assignee, Due date, and Attachments columns ready to fill.Structure the Checklist so each task has enough context to act on.
- Add sections. Use + Add to create sections that group related tasks (for example "Financial docs," "Property documents," "Legal").
- Add tasks. Inside each section, click + Add again and name tasks clearly — for example "Get PFS" or "Executed lease agreement."
- Set task properties. Open a task to set File types (what document the task expects), Team, Assignee, Due date, and a Description with instructions.
- Break large tasks down. Add subtasks for multi-step items, or use Attach to pin files manually.
- Reorder, search, and bulk-edit. Drag tasks between sections, use the filter control for status / assignee / team / due date, or select multiple rows to bulk-change fields.
File types drive automationThe File type on a task drives which incoming files Lev matches to it. See Requesting and tracking files.
Tasks are grouped into sections with clear owners, due dates, and file types — ready for requests and uploads.Reuse the same sections and tasks across deals instead of rebuilding each time.
Apply a template- Open the template picker. From the toolbar dropdown or the empty state, choose Use template.
- Pick a source. Browse Lev Master templates (by property type: Multifamily, Office, Retail, Industrial) or your saved templates.
- Apply. Everything copies into this Checklist; the saved template itself is unchanged.
Save a template- Open the Save menu. From the toolbar dropdown, click Save as template.
- Name it. Sections and tasks copy into a new reusable template, independent from this Vault.
Manage templates- Open template settings. Go to Settings → Checklist templates to view, edit, rename, delete, or fork a Master template into your own variant.

Templates do not copy assignees or due dates — set those per deal after you apply.
Your Checklist is pre-populated from a template, or you have a saved template you can reuse on the next deal.Turn the Checklist into a reliable communication surface so work keeps moving without you chasing it.
- Open alerts & reminders. On the Checklist tab, click Send request → Manage alerts & reminders.
- Set digest frequency. Pick daily, weekly, or monthly (default: weekly on Monday) — the digest summarizes status mix, overdue items, due this week, recently completed, and newly added tasks.
- Set follow-up cadence. Choose a follow-up interval (for example every 24 or 48 hours) and a max-reminders cap. Replies stay in the original email thread so they look like a follow-up from you.
- Enable per Checklist. Different Vaults on the same deal can use different schedules. Reminder and digest activity appears on each task's Activity section.
