How do email communications with lenders work? Do they come from my email address or from Lev?

After you send, the emails will appear in your sent folder, and lender responses will show up in your inbox. Lev's AI tracks all conversations through unique thread IDs, so you can reply either through Lev or directly in your email client - everything stays synchronized as long as you stay on the original thread. This means you maintain direct relationships with lenders while benefiting from Lev's organization and tracking features.
If I reply to lender emails in Outlook instead of through Lev, will those responses still be tracked?
Yes, as long as you reply within the same email thread that was originally sent through Lev. Each conversation has a unique thread ID that tracks all communications. If you respond in Outlook or Gmail and stay on that thread, Lev will automatically sync and track your responses. However, if the email thread gets broken or you start a completely new email chain outside of Lev, those conversations won't be tracked. The key is maintaining that original thread connection.
How do automated follow-ups and lender responses work?

The platform only accesses emails related to lender communications and offers two permission levels. With limited access, you can see conversations on a deal-by-deal and contact-by-contact basis for threads started through the platform. With full access, you also get historical conversation data with imported lender contacts.
Importantly, the system only looks at emails from recognized lender domains in the database. Personal emails (Gmail, Yahoo, AOL) and non-lender business contacts (attorneys, appraisers, contractors) are completely ignored. You can change your email access settings at any time, and all data remains private to your account.
How does the platform track lender preferences and relationship notes?
The platform automatically builds a comprehensive activity history for each lender showing all deals sent, their responses, and interaction patterns. When lenders send tear sheets or program information via email, these documents are automatically added to their profile for easy reference.
You can add both deal-specific notes and general relationship notes to lender profiles. When selecting lenders for new deals, you'll see relevant notes and past activity to help inform your decisions. Will Lev interact with lenders directly on my behalf?
No, Lev does not interact with lenders directly on your behalf. However, you can connect your email account to the platform to streamline your own lender communications. When you add lenders to your network, any future deals that match with them won't trigger generic introduction emails since the system recognizes your existing relationship. Your imported lender contacts remain private to your team and won't be accessible to other Lev users.
How does email integration work and what permissions does Lev need?

How does email communication work with lenders?
Email communication flows seamlessly between the platform and your regular email account:

Can team members access the platform without email integration?
Yes, team members can access the platform without email integration, but with limitations:

What happens if I send deal emails from my regular email instead of through the platform?
The platform can handle emails sent from your regular email account:
Automatic detection - If you have a deal already created in the platform and use a similar subject line, there's a good chance the system will automatically pick up your external email and add it to the appropriate deal.
Manual addition - If the email isn't automatically detected, you can forward it to assistant@lev.com (our email AI agent) with a note like "add this conversation to the [deal name] deal." The system will then map the conversation, update status information, and display the emails within the platform just like emails sent through the system.
Will emails I send through Lev appear in my Outlook sent folder?
Yes, when you send emails through Lev, they will appear in your Outlook sent folder (or outbox, depending on your settings). All email activity is tracked in both places - you'll see sent emails in Outlook and when lenders respond, those replies will appear in both your Outlook inbox and within Lev for complete visibility and tracking.
How do I set up email integration with Lev?

Should I enable full email access or unlimited email integration?
There are no downsides to enabling full or unlimited email access. The choice comes down to personal preference. Some users prefer to have complete email integration for maximum efficiency, while others may have different comfort levels with email connectivity. You can easily adjust these settings at any time by clicking on your name at the bottom of the screen, selecting Settings, then Connected Accounts.
What platform features might I be missing or not aware of?
One key feature you may not have discovered is Deal Assist, which you can find in the Settings menu at the top right of any deal page. This feature acts like your personal executive assistant - a real Lev team member will call unresponsive lenders on your behalf to follow up and schedule meetings. Who can see the deal name and description I enter?
The deal name and description fields are for internal use only. When entering the deal name, be careful not to accidentally select an address from the auto-populate dropdown - click off to the side to avoid this.
Can I run a complete deal process from start to finish on the platform?

To get started, you'll want to set up your email integration first so that all lender communications appear to come directly from your email address. How does the deal packaging and lender outreach process work?
Once you upload your deal files, our AI creates an 8-10 page offering memorandum with executive summary, market overview, and property details - getting you about 95% complete with minimal editing needed. The system also builds an interactive deal room (like a private Dropbox) containing the offering memo and all relevant files. Your deal parameters help narrow our 7,000+ lender database to the best matches (typically 20-100 lenders), and you can then outreach to multiple lenders simultaneously. Each lender receives a custom link to access your deal room with all the materials they need.
What types of files can I use to import deals?

Do you have phone numbers for lenders, and can I call them through Lev?
Yes, we have phone numbers for a large portion of our lenders. When you're viewing lenders in the outreach tab, look for the phone icon - if it's highlighted, you can click on it to see the phone number (mobile, work, or both). You can also call lenders directly through Lev with automatic call transcription. To set this up, enter your phone number and receive a verification code to enable call forwarding. When you click the call button, your phone will ring, you answer and press 1, then it dials the lender directly from your number. The call transcription will be automatically added to your deal notes and activity.
What does Lev do and how much of the work is automated?
Lev is an AI-powered financing platform for commercial real estate brokers and borrowers. The platform automates lender matching, email outreach, and CRM functions. You'll input your deal parameters (loan type, property type, address, etc.), and the AI instantly generates a tailored lender list - a process that typically takes 1-10 hours manually. Does Lev track all my email communications with lenders?

What should I do when I receive bounce back emails from lender outreach?

When you are ready to send, you can choose to send to all selected lenders at once or break them into smaller groups. If sending to a large number of lenders (like 80+), the platform will automatically stagger the emails over about an hour to prevent triggering spam filters. You can also manually split large lists into groups of 20-30 lenders if you prefer to pace the outreach yourself.
What information can lenders and other deal participants see when I share a deal?
When you add lenders or other contacts to a deal, they don't see any information until you actually send the outreach. Once you send the deal:
Lenders receive: A professional email presentation showing key deal information designed to be familiar and straightforward for lenders to navigate. This includes deal terms, property details, and other relevant information formatted specifically for lender review.

You don't need to include any documents or files in your initial outreach to lenders. The recommended approach is to start with a simple email using Lev's standard template, customized with key details about the borrower, property, and loan request. This strategy helps avoid spam filters and gets lenders to respond with interest first. Once lenders express interest, you can then share the specific documents they request or provide access to your deal room.
Will I receive copies of the emails sent to lenders during outreach?
Yes, you will be CC'd on each individual email sent to lenders, but only when you are specifically CC'd on the deal. Lev sends emails to lenders one at a time rather than using bulk CC or BCC to maintain confidentiality - this ensures lenders don't see that the deal is being shopped to multiple parties. Being CC'd on each thread also helps with tracking responses and managing follow-ups.
Can I modify or delete email templates permanently?
You cannot permanently modify the default outreach template, but you can create and save custom email templates. To manage your templates, go to Settings > Email Templates where you can view, delete, or modify your custom templates. You can also set templates as defaults for specific deals or share them across all deals. When creating a custom template, save it with a strong subject line and message that you can reuse for future outreach.
When I save a custom email template, does it apply to this deal only or all future deals?
When you click 'Save as Template,' you have two options: save for this deal only (the default) or save for all deals. Templates saved for this deal only will automatically populate deal-specific information like property type, location, and loan amount. Templates saved for all deals won't automatically update these dynamic fields, so you'll need to manually input deal-specific information each time you use the template.
How does Lev handle non-responsive lenders and poor response rates?
Lev actively monitors lender response rates and maintains an internal scoring system to ensure you're connected with responsive contacts. If you have existing email conversations with lenders, you can forward them to assistant@lev.com with the deal name to track all communications in one place. When contacts consistently don't respond, Lev's capital markets team uses multiple data sources to identify better contacts at those lenders and will suggest alternative contacts with higher response rates.
What are the variable fields in email templates called?
The variable fields in email templates are called "inputs." These include dynamic elements like the placement contact's first name, which automatically changes based on who the primary contact is at each lender. How can I send a test email to see how it looks to recipients?
